ADMINISTRATIVE CLERK

POSITION DESCRIPTION

 

PRINCIPAL PURPOSE OF JOB:   Provides administrative and accounting  work for the city.

DUTIES AND RESPONSIBILITIES

Answers and directs incoming phone calls.

Acts as receptionist for the public entering City Hall for services.

Answer’s customer questions and directs individuals to other staff.

Sets up accounts of new residents and maintains current accounts.

Opens mail, enters payments into customer accounts.

Accepts and processes cash payments.

Adds the balances of cash, checks, credit cards and stubs; ensure all balance in

amount of money received for payments.

Receives and records customer information on service terminations.

Process weekly payroll for city employees.

Sells city burial spaces.

Records and maintains the records for the City Cemetery

Records and maintains the records for city permits.

Maintains and records rental schedule.

Must be able to meet work schedule and attendance standards.

Performs related duties as required.

MINIMUM TRAINING AND EXPERIENCE

High School diploma or GED; supplemented by minimum of six (6) months experience in customer service. Must be computer literate. Experience with Microsoft office software and accounts receivable. Must be at least eighteen (18) years of age.

MINIMUM QUALIFICATIONS OR STANDARDS REQUIRED TO PERFORM ESSENTIAL JOB FUNCTIONS

Ability to learn general and municipal-related clerical methods and practices.

Ability to learn general rules and regulations.

Ability to communicate effectively both orally and in writing.

Ability to deal tactfully and courteously with coworkers and customers and the

ability to maintain composure in stressful work situations.

Requires the ability to record and deliver information , to explain procedures, to follow oral and written instructions. 

Must be able to add, subtract, multiply, and divide.

Must be physically able to operate variety of machines and equipment including

computer, office equipment, telephone, etc.  Must be able to exert 10 to 20 pounds of force occasionally, and or a negligible amount of force frequently of constantly to lift, carry, push, pull, or otherwise move objects. Physical demands are essentially those of sedentary work.

Requires the ability to deal with people beyond receiving instructions.  Must be adaptable to performing under stress when confronted with frequent deadlines or peak workloads. 

Requires the ability to talk and hear ( talking; expressing or exchanging ideas by means of spoken words; hearing; perceiving nature of sounds by ear) Must be able to hear and understand communications through telephone.
